If your PG serves residents near a college and residents commuting to employment areas such as Whitefield or Electronic City, avoid assuming everyone follows one academic calendar. Record the joining date and agreed monthly rent for each person. Put room and bed labels on the same record so a change in residents is visible before you promise a vacant space to someone else.

Keep property costs visible without hiding shared spending
When you operate PGs in different parts of Bengaluru, an internet bill or a repair belongs to a particular property, while some business expenses may be shared. Record those associations rather than dividing every cost by the number of residents. Build a practical handover routine
A resident transferring for work may check out outside the end-of-month routine. Confirm the checkout date, inspect the room, reconcile unpaid invoices and review any deposit settlement before releasing the bed. Recording a checkout does not itself prove a bank refund was made. Keep transaction references with your records and confirm the actual payment separately.
- Review rent balances before checkout.
- Track deductions and refunds in the actual deposit ledger.
- Mark a vacant bed under maintenance when it is not ready for the next resident.
